Sylvester to the rescue!

Every year, we organize our LCL Carrier Partner Event at LCL Data Centers. This is an evening where we celebrate our carriers, both literally and figuratively, with an award show and, above all, plenty of opportunity to network. This year, preparations began with a significant challenge: last year, the no-show rate was nearly 40%, and ultimately, there were almost more colleagues present than carriers themselves. That is why we brought in Sylvester quite last minute, and that turned out to be the best decision we could have made.
Bart and Girben invested an enormous amount of time, energy, and creativity into both the award section and everything surrounding it. Thanks to their approach, it became a brilliant edition of our event with overwhelmingly positive reactions and a no-show rate of just 7%. We therefore look back on the collaboration with great satisfaction and greatly appreciate their professionalism, commitment, and eye for quality.

Elk jaar organiseren we bij LCL Data Centers ons LCL Carrier Partner Event. Dit is een avond waarop we onze carriers letterlijk en figuurlijk in de bloemetjes zetten met een awardshow en vooral veel ruimte om te netwerken. Dit jaar begon de voorbereiding met een stevige uitdaging: vorig jaar lag de no-show rate op bijna 40% en waren er uiteindelijk bijna meer collega's aanwezig dan carriers zelf. Daarom schakelden we vrij last-minute Sylvester in, en dat bleek de beste beslissing die we konden nemen.
Bart en Girben staken enorm veel tijd, energie en creativiteit in zowel het awardgedeelte als alles errond. Dankzij hun aanpak werd het een schitterende editie van ons event met enorm positieve reacties én een no-show rate van amper 7%. Wij kijken dus met enorm veel tevredenheid terug op de samenwerking en appreciëren hun professionaliteit, betrokkenheid en oog voor kwaliteit enorm.

skAI-line event: how the opening of a data center became a true experience

For the opening of our new data center in Diegem, we didn't want to organize a classic inauguration event. We wanted to create an experience that people will remember — an evening where technology, vision, art, and human connection come together. And with Sylvester, we achieved exactly that.
With the “skAI-line” concept, we succeeded in connecting IT infrastructure and art in a unique way. From the inspiring insights of Henna Virkkunen (European Commission) and Jo Caudron to the unveiling of the impressive artwork by Luk Van Soom: everything came together perfectly. It was an evening full of stories, networking, and connection, in an atmosphere that felt simultaneously inspiring, warm, and forward-looking.
The event was a great success, and that is largely due to the professionalism, creativity, and pragmatic approach of the Sylvester team. Voor de opening van ons nieuwe data center in Diegem wilden we geen klassiek inauguratie-event organiseren. We wilden een beleving creëren die mensen bijblijft — een avond waar technologie, visie, kunst en menselijke connectie samenkomen. En met Sylvester hebben we exact dat gerealiseerd.
Met het concept “skAI-line” slaagden we erin om IT-infrastructuur en kunst op een unieke manier met elkaar te verbinden. Van de inspirerende inzichten van Henna Virkkunen (Europese Commissie) en Jo Caudron tot de onthulling van het indrukwekkende kunstwerk van Luk Van Soom: alles klopte. Sylvester makes GUBERNA's anniversary unforgettable

GUBERNA (Institute for Governance) celebrated its 30th anniversary in 2025. A Festival of Governance was held to highlight 30 years of rich history and look ahead to what the future holds for good governance. We, at GUBERNA, took care of the content preparation for keynotes and panels featuring more than 45 speakers. Sylvester provided all other support and organization, from suggesting the excellent venue (Flagey) to the smallest design details. Sylvester also handled the video production of both a tribute video featuring the founders and the aftermovie of the event itself. The professionalism, proactive attitude, and transparency of every Sylvester employee who contributed to our project are of an unprecedented level. They contributed to the great success of this unique event for our organization.

Jubilee celebration of 25 years of the Flemish Traffic Centre - a bull's eye!

We worked with Sylvester to organise an event for 300 guests on the occasion of 25 years of the Flemish Traffic Centre (Roads and Traffic Agency). A bull's eye! We really couldn't have imagined a better anniversary party: an atmospheric party location, excellent catering and an attractive programme (that was perfectly put together in terms of both content and form). Steffi, Jason and Koen from Sylvester guided us for months, from the first brainstorming sessions about finding interesting speakers to the goodie bag on the evening itself. Always with a lot of professional knowledge, an enormous drive, sparkling ideas and a great deal of flexibility. Nothing was too much. We received an immediate answer to every question. That gave us a sense of security. The Sylvester team fulfilled all its promises, every time down to the smallest detail. Our guests and we ourselves were unanimously enthusiastic. Great class! Wij hebben met Sylvester samengewerkt voor de organisatie van een evenement voor 300 genodigden naar aanleiding van 25 jaar Vlaams Verkeerscentrum (Agentschap Wegen en Verkeer). Een schot in de roos! We hadden ons echt geen beter jubileumfeest kunnen bedenken: een sfeervolle feestlocatie, verzorgde catering en een wervend programma (dat zowel inhoudelijk als ook vormelijk perfect in mekaar was gestoken). Steffi, Jason en Koen van Sylvester hebben ons daarbij maandenlang begeleid, van de eerste brainstorms over het zoeken naar interessante sprekers tot de goodiebag op de avond zelf. Altijd met veel vakkennis, een enorme drive, bruisende ideeën en zeer veel flexibiliteit. Niets was te veel. Bij elke vraag kregen we meteen een antwoord. Dat gaf een gerust gevoel. Het team van Sylvester heeft al zijn beloften waargemaakt, elke keer tot in de kleinste details. Onze genodigden en wijzelf waren dan ook unaniem enthousiast. Grote klasse! Fast, reliable and friendly!

Bednet will be celebrating its 20th anniversary in 2024 and we wanted to celebrate that. Sylvester helped us set up an event in the Flemish Parliament. From the start of our collaboration, they made a great effort to create something beautiful that fit within our budget and the idea we had in mind. They also clearly indicated the deadlines and what we could expect from the day. Increases (or decreases) in price were checked in advance. On the day itself, Jason and Lieselotte had everything under control and took on tasks to relieve us of our worries. We received many compliments about the event from those present. Bednet bestaat in 2024 20 jaar en dat wouden we vieren. Sylvester hielp ons om een event op poten te zetten in het Vlaams Parlement. Vanaf de start van de samenwerking deden ze veel moeite om erg iets mooi van te maken dat paste binnen ons budget en het idee dat we voor ogen hadden. Ook gaven ze duidelijk de deadlines aan en wat we van de dag konden verwachten. Stijgingen (of dalingen) in prijs werden op voorhand afgetoetst. Ook de dag zelf hadden Jason en Lieselotte alles onder controle en namen taken op om ons te ontzorgen. We kregen van de aanwezigen veel complimenten over het event. Expert meeting in connection with the Belgian Presidency of the EU

In the context of the Belgian presidency of the Council of the European Union, Sport Vlaanderen organised an informal expert meeting on “(Digital) solutions to involve the independent athlete/sportsperson more" in Sport Vlaanderen Bruges on 25 and 26 April 2024. We called on Sylvester Events to organise this two-day expert meeting. Communication with Marjon, Stefan and Lieselotte went very smoothly and constructively from the start. Lieselotte was our main point of contact and the first coordinator (besides ourselves) for the organisation of the expert meeting. She often came up with creative ideas and thought of things that we would not have thought of at first. In addition, there was always clear communication about the expected budget and which decisions/applications would have an impact on this. Together we succeeded in setting up a very successful expert meeting, so we look back with great satisfaction on the collaboration with Sylvester Events.

In het kader van het Belgische voorzitterschap van de Raad van de Europese Unie, organiseerde Sport Vlaanderen een informele expertmeeting over “(Digitale) oplossingen om de ongebonden atleet/sporter meer te betrekken" in Sport Vlaanderen Brugge op 25 en 26 april 2024. Voor de organisatie van deze tweedaagse expertmeeting deden we beroep op Sylvester Events. De communicatie met Marjon, Stefan en Lieselotte verliep van bij de start zeer vlot en constructief. Lieselotte was ons voornaamste aanspreekpunt en de eerste coördinator (naast onszelf) voor de organisatie van de expertmeeting. Zij kwam vaak met creatieve ideeën en dacht aan zaken waar wij in eerste instantie niet zouden aan denken. Daarnaast werd ook steeds duidelijk gecommuniceerd over het verwachte budget en welke beslissingen/toepassingen hier een impact zouden op hebben. Samen zijn we er in geslaagd om een zeer succesvolle expertmeeting op poten te zetten, dus we kijken zeer tevreden terug op de samenwerking met Sylvester Events.

Staff event

We called on Sylvester to organize our staff event for 650 participants. Hendrik and Lune guided us very well in this: we received clear feedback on our questions, they thought constructively and proactively about the design and also made suggestions for improvements/adjustments. They also looked at what was possible to provide everything within our budget and looked for alternatives where necessary. During the set-up and during the event, they monitored everything carefully and provided us with feedback on the state of affairs. They professionally resolved some practical problems with the catering and subsequently discussed them with the caterer. It was a great collaboration with a successful event as a result.

We deden beroep op Sylvester voor de organisatie van ons personeelsevent voor 650 deelnemers. Hendrik en Lune hebben ons hier zeer goed in begeleid: we kregen duidelijke feedback op onze vragen, ze dachten constructief en proactief mee na over de opzet en deden ook voorstellen tot verbetering/aanpassing. Daarbij bekeken ze ook wat er mogelijk was om alles binnen ons budget te voorzien en zochten ze daarvoor naar alternatieven waar nodig. Bij de opbouw en tijdens het event hebben ze alles goed opgevolgd en hebben ze naar ons teruggekoppeld over de stand van zaken. Enkele praktische problemen met de catering hebben ze professioneel opgelost en nadien ook besproken met de cateraar. Het was een fijne samenwerking met een geslaagd event als resultaat.

We worked together with Sylvester to organize a symposium on menopause. It had to happen quickly! Colleagues Shannon and Gelein acted flexibly and proactively to realize all our wishes. We worked with Sylvester to organize our Smart Shipping Conference in Antwerp (May 16, 2024), which was part of the Belgian EU presidency. The event was planned and prepared in detail from A to Z. The conference took place on board the ship 'Blue Rhapsody', which presented many logistical and technical challenges. And that's where Sylvester came into the picture perfectly. Not only did we as an organization receive maximum support during the preparations, the communication prior to the event and the day itself also went smoothly and professionally. The contact with Femke, Randy and Jason from Sylvester was very nice, so at the end it really felt like we were one team. Thank you for that!

De conferentie vond plaats aan boord van het schip 'Blue Rhapsody', wat heel wat logistieke en technische uitdagingen met zich meebrengt. En daar kwam Sylvester perfect in beeld. Niet alleen werden we als organisatie maximaal ontzorgd in de voorbereidingen, ook de communicatie voorafgaand aan het event en de dag zelf verliepen vlekkeloos en professioneel. Het contact met Femke, Randy en Jason van Sylvester was erg fijn, waardoor het op het einde echt aanvoelde alsof we één team waren. Dankjewel daarvoor!

European event on the right track with Sylvester

In the context of the European Presidency of the Council of the European Union, PMV organized an event in the Brussels Bozar together with Wallonie Entreprendre, SFPIM and finance&invest.brussels. We called on Sylvester for this, who did this excellently: very hands-on and always willing to listen and looking for solutions.

Because it was an event in co-organization with 4 parties, this was not always an easy task in terms of communication, but given the good multilingualism of the team, they also managed this in an excellent way. Recommendable!

In het kader van het Europese Voorzitterschap van de Raad van de Europese Unie organiseerde PMV samen met Wallonie Entreprendre, SFPIM en finance&invest.brussels een event in de Brusselse Bozar. Daarvoor deden we een beroep op Sylvester, die dit voortreffelijk heeft uitgevoerd: zeer hands on en altijd luisterbereid en zoekend naar oplossingen.

Omdat het een event in co-organisatie was met 4 partijen, was dit communicatief niet altijd een even gemakkelijke opgave, maar gezien de goede meertaligheid van het team hebben ze dit ook op een uitstekende manier in goede bane geleid. Aanbevelenswaardig!

Two world ports that join forces and dive into the future together, that is something that you cannot just pass by.

To celebrate the start of Port of Antwerp-Bruges in an appropriate and memorable way, we were looking for a creative and reliable partner who could help us with this.
We found this partner in Sylvester, they came up with a strong concept, a well-developed plan and they fully understood our request to connect the 2 ports.

Sylvester created a custom-made immersive ceiling projection for us, through which you, as a guest, entered an underwater world and dived into the future together with Port of Antwerp-Bruges.
To highlight the synergy of both ports, the catering served dishes from hotel schools in Antwerp and Bruges and a live duet between a Bruges and Antwerp youth choir provided the ultimate goosebumps moment.

The start of Port of Antwerp-Bruges was successfully initiated, thanks in part to Sylvester.

Volley Haasrode Leuven and Sylvester join forces to realize an ambitious virtual business event

After 9 successful physical business events - the last one in January 2020 with 620 participants - Volley Haasrode Leuven (VHL) approached one of the largest volleyball clubs in Flanders, Sylvester, to produce the 10th anniversary edition completely virtually. It has been an exceptional success with more than 700 paying participants and a program and end product that has been widely praised. The program was moderated by Annelies Van Herck, Michael Van Droogenbroeck and Ruben Van Gucht. There was a debate with Alexander De Croo, Jan Jambon and Elio Di Rupo and a conversation with Tia Hellebaut, Kim Gevaert, Tom Boonen and Hendrik Tuerlinckx. Three musical intermezzos by Ozark Henry and fragments of interviews with ten speakers from previous editions (Eddy Merckx, Koen Geens, Theo Francken, Roberto Martinez, Bob Verbeeck, Nina Derwael, Evi Van Acker, Mark Waer, Gerd Vande Broek, Mohamed Ridouani and John Porter). Working with Sylvester was extremely professional and pleasant. Sylvester has continuously contributed ideas and co-created. Recommended !

Online European Music Festival for Youth in 35 countries and 2500 participants

The fact that the 69th edition of our festival could take place in these circumstances is partly due to the Meeple team. From the first contact, the team has shown commitment and trust. The employees have acted in a very professional manner to make our initiative a success. This firm no-nonsense approach was of the same drive as that of our own team, which consists entirely of volunteers.
Thanks to the open collaboration, we were able to set up a personalized online platform in a very short time. Fast feedback, clear answers, a proactive attitude and a stable solution ensured a successful festival day for our participants. A festival experience through the Meeple platform where we could offer our own jury concerts, workshops, live shows in an intuitive and smooth way to the 2,500 participants from 35 countries worldwide.

Dat de 69e editie van ons festival kon doorgaan in deze omstandigheden hebben we ondermeer aan het Meeple-team te danken. Vanaf het eerste contact heeft het team blijk gegeven van engagement en vertrouwen. De medewerkers hebben zich op zeer professionele manier opgesteld om ons initiatief te doen slagen. Deze kordate no-nonsense aanpak was van eenzelfde gedrevenheid als die van onze eigen ploeg, die volledig uit vrijwilligers bestaat.
Door de open samenwerking konden we op heel korte tijd een gepersonaliseerd online platform opzetten. Snelle feedback, duidelijk antwoorden, een proactieve houding en een stabiele oplossing zorgden voor een succesvolle festivaldag voor onze deelnemers. Een festivalervaring via het Meeple-platform waar we onze eigen juryconcerten, workshops, liveshows op een intuïtieve en vlotte manier konden aanbieden aan de 2.500 deelnemers uit 35 landen wereldwijd.
Een geslaagde match die smaakt naar meer. Al hopen we natuurlijk dat de volgende editie opnieuw live kan doorgaan. Maar wie weet met een extra online kantje...

Fantastic virtual award ceremony for EU trade association

The team at Sylvester created a fantastic virtual event for us (an EU trade association based in Brussels), which was live streamed from Antwerp. We needed to adapt an existing physical event (industry awards show) to an online format. The team had lots of creative ideas to make the show work with the audience watching at home. The result was a highly entertaining and professional event. The team are very friendly and supportive and we will not hesitate to work with them again.

Tourist virtual experiences

Sylvester made 4 videos for Tourism Flanders. The assignment was to bring new tourism products to our international trade contacts, as they cannot come here to discover them themselves. It became 4 "virtual experiences" around Ensor and Ostend, Genk and LABIOMISTA, Ghent and Van Eyck and Beer & amp; Cycling in the Westhoek. The idea to work with the same flying reporter for the 4 videos as a common thread comes from Sylvester. We had less than a month for this and we more than succeeded. Received a lot of positive reactions from our trade contacts, the partners who cooperated and colleagues. It was a very successful collaboration.

De opdracht was nieuwe toeristische producten naar onze internationale tradecontacten te brengen, aangezien ze zelf niet naar hier kunnen komen om ze te ontdekken. Het werden 4 "virtual experiences" rond Ensor en Oostende, Genk en LABIOMISTA, Gent en Van Eyck en Beer & Cycling in de Westhoek. Het idee om als rode draad met 1 zelfde vliegende reporter voor de 4 video's te werken komt van Sylvester. We hadden hier een kleine maand voor en dat is meer dan gelukt. Heel veel positieve reacties ontvangen, zowel van onze tradecontacten, de partners die meewerkten als collega's. Het was een zeer geslaagde samenwerking.

Successful digital New Year's reception

Due to the corona crisis, some of our internal events were canceled. Our employees needed an informal and connecting moment. So we started looking for a digital alternative. We had previously worked with Sylvester for the organization of a physical event, but also for a digital event we were certainly at the right place at Sylvester. Femke was involved with our story from the beginning and also brought up creative ideas herself. For example, we put together a "warm" program for our digital New Year's reception.

It was a completely new way of working for us, but in retrospect it was certainly a great experience. The livestream also turned out to be a real success with our employees. Our colleagues were very enthusiastic about the program, the decoration of the studio and the possibilities for interaction. Everyone really enjoyed feeling reconnected with each other and with the organization.

The collaboration went very smoothly. The Sylvester employees always paid attention to the small details, which raised the quality of the event to a higher level. Communication was always clear and smooth. Femke was always available and open to all questions. Thanks for the great cooperation!

Door de coronacrisis werden enkele van onze interne evenementen geannuleerd. Onze medewerkers hadden nood aan een informeel en verbindend moment. Dus gingen we op zoek naar een digitaal alternatief. We hadden al eerder samengewerkt met Sylvester voor de organisatie een fysiek evenement maar ook voor een digitaal evenement waren we bij Sylvester zeker aan het juiste adres. Femke was van het begin mee met ons verhaal en bracht zelf ook creatieve ideeën aan. Zo stelden we een ‘warm’ programma samen voor onze digitale nieuwjaarsreceptie.

Het was voor ons een heel nieuwe manier van werken maar achteraf gezien was het zeker een mooie ervaring. De livestream bleek ook een echt succes bij onze medewerkers. Onze collega’s waren zeer enthousiast over het programma, de aankleding van de studio en de mogelijkheden voor interactie. Iedereen heeft er enorm van genoten om zich opnieuw verbonden te voelen met elkaar en de organisatie.

De samenwerking verliep zeer vlot. De medewerkers van Sylvester hadden steeds aandacht voor de kleine details, waardoor de kwaliteit van het evenement naar een hoger niveau getild werd. Ook de communicatie verliep steeds helder en vlot. Femke was altijd bereikbaar en stond open voor alle vragen. Bedankt voor de super fijne samenwerking!

Strong organizer and coach at Meet in Flanders Academy # 6

We look back with great satisfaction on the sixth edition of the Meet in Flanders Academy on 11 December 2020. Visit Flanders focuses on the meeting industry with this six-monthly study day. Forced by the circumstances to a fully digital edition, we wanted to create something that could inspire the sector in that area. Sylvester managed to produce a well-loved study morning in Kursaal on their meeting platform Meeple within very tight timing, together with our team. We are satisfied all along the line. Sylvester's employees were dedicated, flexible, hardworking. They listened very carefully to what we had in mind, explained the technical and substantive consequences and decided in mutual consultation. During the preparation, we remained consistent with the decisions made, even if they involved extra work. Sylvester therefore wanted to make our event, gave solid advice but did not impose his own vision. What I found striking is that the people at Sylvester stimulated us to take on the presentation and a lot of content ourselves. And that they guided us very well in this, with a script, script, technical advice, etc. At the same time there was a lot of room for creativity and humor. Also technically, the platform Meeple and the team that Sylvester has hired have done their job very well.

Wij kijken met veel voldoening terug op de zesde editie van de Meet in Flanders Academy van 11 december 2020. Toerisme Vlaanderen richt zich met deze halfjaarlijkse studiedag tot de meetingindustrie. Door de omstandigheden gedwongen tot een volledig digitale editie, wilden we dan ook graag iets neerzetten dat de sector kon inspireren op dat gebied. Sylvester slaagde erin om binnen een zeer krappe timing samen met onze ploeg een gesmaakte studievoormiddag in Kursaal op hun meetingplatform Meeple te produceren. Wij zijn over de hele lijn tevreden. De medewerkers van Sylvester waren toegewijd, flexibel, hardwerkend. Zij hebben heel goed geluisterd naar wat wij in ons hoofd hadden en daar de technische en inhoudelijke consequenties van uitgelegd en in onderling overleg beslist. Tijdens de voorbereiding zijn we consequent gebleven aan die gemaakte beslissingen, ook als dat extra werk met zich meebracht. Sylvester heeft dus ons evenement willen maken, gaf degelijk advies maar drong geen eigen visie op. Wat ik opvallend vond is dat de mensen van Sylvester ons gestimuleerd hebben om zelf de presentatie en veel van inhoud op ons te nemen. En dat zij ons daarin heel goed begeleid hebben, met draaiboek, script, technisch advies, enz. Tegelijk was er veel ruimte voor creativiteit en humor. Ook technisch hebben het platform Meeple en de equipe die Sylvester heeft ingehuurd hun werk prima gedaan.

First acquaintance with Meeple during two successful online events.

During the month of November, Port of Antwerp organized two large online events with Sylvester as a partner. Port of Antwerp was introduced to the Meeple platform for the first time, the interactive platform that can be personalized with various functionalities and graphic elements. For the events of Port of Antwerp, use was made of a plenary room with live streaming, break-out rooms, workshops, a 3D expo, network rooms and on-demand videos. Especially the recordings in the studio are very new in this type of online event organization. This was a completely new way of working for Port of Antwerp, as it is more towards making a TV program than traditional event organization. Expertise and guidance are therefore required and this was certainly provided by the professional and competent team of Sylvester and the studio we worked with. We were therefore very proud of a great end result with, among other things, 507 participants and 1760 views of the plenary sessions. This type of events will certainly also take place post Covid-19, among other things in the form of hybrid events, so this was certainly a useful and educational experience. We hereby thank Sylvester and PFL studio for the fine and professional cooperation.

Tijdens de maand november organiseerde Port of Antwerp twee grote online events met Sylvester als partner. Hierbij maakte Port of Antwerp voor een eerste keer kennis met het Meeple-platform, het interactief platform dat gepersonaliseerd kan worden met verschillende functionaliteiten en grafische elementen. Voor de events van Port of Antwerp werd er gebruik gemaakt van o.a. een plenaire zaal met live streaming, break-out rooms, workshops, een 3D expo, netwerkruimtes en on-demand video’s. Vooral de opnames in de studio zijn een heel nieuw gegeven bij dit type van online event organisatie. Dit was dan ook een heel nieuwe manier van werken voor Port of Antwerp, gezien het eerder richting het maken van een tv-programma gaat dan klassieke eventorganisatie. Expertise en begeleiding zijn hierbij dan ook nodig en dit werd zeker voorzien door het professioneel en bekwaam team van Sylvester en van de studio waar we mee samen werkten. We waren dan ook zeer trots op een mooi eindresultaat met o.a. 507 deelnemers en 1760 views van de plenaire sessies. Dit type van events zal zeker ook nog post Covid-19 plaatsvinden o.a. in de vorm van hybride events, dit was dus zeker een nuttige en leerrijke ervaring. We bedanken hierbij Sylvester en PFL studio voor de fijne en vakkundige samenwerking.

Sylvester helped us to organize an online event, where we wanted to enter into a dialogue with some 60 professional stakeholders (NGOs, experts, sector organizations, young people, ...) In retrospect, the choice for Sylvester was absolutely the right choice.
The online platform Meeple is well put together and met our needs to create as much interactivity and dynamism with the participants as possible, despite the virtual environment.

Voor ons team was het een topervaring, want de ganse crew heeft ons door gans het proces op sleeptouw genomen. Dit was voor Voka Vlaams-Brabant de 1e maal dat we zulke grote online productie hebben georganiseerd. Door de zeer professionele begeleiding onder commando van Eveline en Hendrik hebben we dit tot een zeer goed einde kunnen brengen. Successful online alternative for opening academic year

The suddenly changed world no longer made it possible to organize the opening of the academic year for Antwerp higher education in the traditional form. A solid and attractive alternative had to be found for the 1,600 attendees who previously came to the Stadsschouwburg and the big walking lunch on the Theaterplein. Various providers of "conference platforms" were questioned. Extensive video calls were also conducted with international providers such as vfairs.com and hopin.to.
Aware of the risks as an early adopter, we have joined forces with Associatie Universiteit & amp; Antwerp colleges nevertheless took the plunge to opt for Sylvester's Meeple platform. We knew Sylvester as an organizer of major events - they worked together for several years for STUDAY, the Antwerp student reception with more than 20,000 attendees - but Meeple was completely new to us.
The intention was to make a mix of pre-recorded elements and an important "live" part. Interaction had to be possible at all times. One-to-one video chat was a requirement. Robustness had to be guaranteed. Extensive use of proprietary branding elements was also a priority. We wanted to offer those present the experience of being able to move from room to room in a 'conference center', visit different stages and find each other in a plenary room or private conversation. This has been successful.
It was also important for us as a client to be able to work with trusted suppliers for parts of the event. For the pre-recorded videos, we worked with hartstikkide.com, a small local player who immediately understands where we want to go. For the live studio part we wanted to stay in Antwerp and we chose storycatchers.be. The look & amp; feel was in the hands of our house designer Erik Desombere.
That was no problem for Sylvester.
The opening eventually had all the ingredients of the usual event but with an online touch. It became an opening with more momentum, with more options and individual experiences, a lot of interaction. There were five dance and music stages, a live presenter connecting the parts, video quotes, a remix of the Flemish Community hymn, a live plenary roundtable with video quotes, a much-frequented network lounge and continuous active chat. After the plenary part, there were also four discussion tables with the participants in the round table discussion. In short: the atmosphere of a lively opening of the academic year was matched.
In the end, we turned out to be the very first users of the platform. We were able to take advantage of that to see a lot of supporting horns and bells, especially in the area of branding, created. Sylvester has always responded positively to our questions and comments.

De plots gewijzigde wereld liet niet meer toe de opening van het academiejaar voor het Antwerps hoger onderwijs in de traditionele vorm te organiseren. Voor de 1600 aanwezigen die voorheen naar de Stadsschouwburg en grote walking lunch op het Theaterplein kwamen moest een stevig en aantrekkelijk alternatief worden gevonden. Verschillende aanbieders van ‘congresplatformen’ werden bevraagd. Ook met internationale aanbieders als vfairs.com en hopin.to werden uitgebreide videocalls gevoerd.
Bewust van de risico’s als early adopter hebben we met de Associatie Universiteit & Hogescholen Antwerpen toch de sprong gewaagd om voor het platform Meeple van Sylvester te kiezen. We kenden Sylvester als organisator van grote events – ze werkten verschillende jaren samen voor STUDAY, het Antwerpse studentenonthaal met meer dan 20.000 aanwezigen – maar Meeple was voor ons totaal nieuw.
Het opzet was een mix te maken van vooraf opgenomen elementen en een belangrijk ‘live’ deel. Interactie moest op alle momenten mogelijk zijn. One-to-one videochat was een vereiste. Robuustheid moest worden gegarandeerd. Een doorgedreven gebruik van de eigen elementen voor branding was evenzeer een prioriteit. We wilden de aanwezigen de beleving bieden om in een ‘congrescentrum’ te kunnen bewegen van ruimte naar ruimte, verschillende podia te bezoeken en mekaar terug te vinden in een plenaire zaal of privaat gesprek. Dit is geslaagd.
Belangrijk voor ons als opdrachtgever was ook de mogelijkheid om voor onderdelen van het evenement te kunnen werken met vertrouwde leveranciers. Voor de vooraf opgenomen video’s werkten we met hartstikkide.com, een kleine lokale speler die onmiddellijk begrijpt waar we naartoe willen. Voor het live studiogedeelte wilden we in Antwerpen blijven en kozen we voor storycatchers.be. De look&feel was in handen van onze huisvormgever Erik Desombere.
Dat was voor Sylvester geen probleem.
De opening had uiteindelijk alle ingrediënten van het gebruikelijke evenement maar met een online touch. Het werd een opening met meer vaart, met meer keuzemogelijkheden en individuele ervaringen, veel interactie. Er waren vijf dans- en muziekpodia, een live presentator die de onderdelen met elkaar verbond, videoquotes, een remix van de hymne van de Vlaamse Gemeenschap, een live plenair rondetafelgesprek met videoquotes, een veel gefrequenteerde netwerklounge en voortdurende actieve chat. Na het plenaire deel waren er ook nog vier gesprekstafels met de deelnemers aan het rondetafelgesprek. Kortom: de sfeer van een levendige opening van het academiejaar werd geëvenaard.
Uiteindelijk bleken we de allereerste gebruikers van het platform te zijn. Daarvan hebben we misbruik mogen maken om nog heel wat ondersteunende toetertjes en belletjes, vooral op het vlak van branding, te zien tot stand komen. Sylvester reageerde steeds positief op onze vragen en opmerkingen.

It is not easy: suddenly developing a fully digital (and fascinating) concept for an event that you normally organize physically every year.
But together with Sylvester this worked out fantastically. Even more: it was simply a success with more than 350 viewers!

Party 30 years GO! - May 3, 2019 - Lotto Arena Antwerp

The GO! celebrates its 30th anniversary in 2019. The apotheosis of this festive year was a real festival on May 3, 2019 in the Lotto Arena Antwerp.
The day was divided into two parts. In the morning, we welcomed primary school students, and in the afternoon we welcomed students from secondary education and school teams. In total we were present with 14,000 people. Sylvester guided us through this event.

The first idea was to organize an open air festival. The tickets flew out the door faster than expected. In no time our pasture was full and we had to disappoint schools that could no longer register. In order to give as many schools as possible the opportunity to celebrate, we had to adjust our program last-minute.
Sylvester searched and found a solution for us. By changing the program and the location, we were able to double our capacity and this within the set initial budget. For example, we went from an open-air festival to a spectacular stage show in the Lotto Arena in Antwerp with numerous acts, all in line with our pedagogical project.

Sylvester took care of the entire organization from start to finish. They listened carefully to our wishes and expectations. They also always stay within budget and let you know if there are changes. It is very nice to work with them. You get what they promise and more. They always work with very professional teams. Everyone knows their job perfectly.

nlFeest 30 jaar GO! - 3 mei 2019 - Lotto Arena Antwerpen
Het GO! viert in 2019 zijn 30ste verjaardag. De apotheose van dit feestjaar was een heus festival op 3 mei 2019 in de Lotto Arena Antwerpen.
De dag werd opgedeeld in twee luiken. In de voormiddag verwelkomden we de leerlingen van het basisonderwijs, in de namiddag leerlingen van het secundair onderwijs en schoolteams. In totaal waren we met 14.000 aanwezigen. Sylvester begeleide ons bij dit evenement.

Het eerste idee was om een openluchtfestival te organiseren. De tickets vlogen sneller de deur uit dan verwacht. In een mum van tijd was onze weide volzet en moesten we scholen die niet meer konden inschrijven teleurstellen. Om zoveel mogelijk scholen de kans te geven om mee te vieren hebben we ons programma last-minute moeten bijstellen.
Sylvester zocht en vond voor ons een oplossing. Door het programma en de locatie te wijzigen konden we onze capaciteit verdubbelen en dit binnen het voorop gestelde eerste budget. Zo gingen we van een openluchtfestival naar een spetterende podiumshow in de Lotto Arena in Antwerpen met tal van acts, stuk voor stuk helemaal in de lijn van ons pedagogisch project.

Sylvester verzorgde de hele organisatie van begin tot einde. Ze luisterden goed naar onze wensen en verwachtingen. Ze blijven ook steeds binnen het budget en laten weten als er wijzigingen zijn. Wij hebben met veel plezier samengewerkt met An van Sylvester voor het organiseren van een event voor maatwerkbedrijven. Sylvester heeft ons met de nodige ervaring en vooral veel geduld door de drukke momenten geloodst. Het was een drukke dag maar alles was tot in de puntjes af en is zeer goed verlopen! De medewerkers van Sylvester waren altijd bereikbaar en hadden voor alle praktische problemen een oplossing klaar. De samenwerking en afrekening is zeer vlot en correct verlopen! Staff party 2018

In September 2018 we collaborated with Ben & Hendrik van Sylvester for our staff party on the occasion of our 50th anniversary. They are very nice, enthusiastic people and very pleasant to work with. Our event was well prepared down to the last detail and we did not have to do it ourselves. They take everything off your hands so that you do not experience any stress yourself.



It is not often that everyone is really satisfied with the event, but that was the case in this case. We only heard positive comments from all employees and everyone enjoyed a wonderful day. So the ideas they put forward for activities were perfect and doable for everyone. That made the event a great success!

Wij hebben in september 2018 samengewerkt met Ben & Hendrik van Sylvester voor ons personeelsfeest naar aanleiding van ons 50 jarig bestaan. Zij zijn zeer fijne, enthousiaste mensen en bijzonder aangenaam om mee samen te werken. Ons evenement was tot in de puntjes goed voorbereid en we hebben hier zelf helemaal niet voor hoeven doen. Ze nemen zodanig alles uit handen zodat je zelf geen enkel moment enige stress ervaart.



Het komt niet zo vaak voor dat echt iedereen tevreden is met het evenement, maar dat was in dit geval wel zo. We hoorden enkel positieve commentaren van alle werknemers en iedereen heeft stuk voor stuk genoten van een prachtige dag. De ideeën die ze naar voor hebben gebracht voor activiteiten waren dus perfect en doenbaar voor iedereen. Dat maakte het evenement een groot succes!

The New Zealand Embassy has teamed up with Sylvester Productions for a unique event to commemorate New Zealand's involvement in the Battle of Passchendaele in October 2017. They performed our sound & light show on the city walls of Ypres, including a traditional Maori waka (canoe), a real scces made.
We have nothing but praise for Sylvester Productions. They were very enthusiastic about our vision and helped develop it. They coped very well with our limited budget and were always very clear about the cost of each element.

Sylvester Productions told our story 'Flight Forward'

Last year, the Operational Site Management entity of the Agency for Nature and Forests ran the 'Flight Forward' project. A project in which foresters, green workers and administrators all over Flanders participated intensively.
Now, a year later, we are completing 9 of the 15 projects and it should not go unnoticed!
Our event "Landing, one year of Flight Forward" on 26/10/2017 in ANTWERP EXPO MEETING CENTER has been a success thanks to the collaboration with Sylvester Productions. Together we have found the right mix for an excitingly varied day program. Towards the event, we could count on solid support and during the event EVERYTHING went smoothly including timing ;-).
Sylvester Productions provided the direction and stage techniques. A valuable collaboration!

Vorig jaar heeft de entiteit Operationeel Terreinbeheer van het Agentschap voor Natuur en Bos, het project ‘Vlucht Vooruit’ gelopen. Een project waaraan boswachters, groenarbeiders en administratieven over heel Vlaanderen intensief hebben aan deelgenomen.
Nu, een jaar later ronden we 9 van de 15 projecten af en dat mocht niet onopgemerkt voorbijgaan!
Ons event ‘De landing, één jaar Vlucht Vooruit’ op 26/10/2017 in ANTWERP EXPO MEETING CENTER is een succes geweest dankzij de samenwerking met Sylvester Productions. Samen hebben we de juiste mix gevonden voor een boeiend gevarieerd dagprogramma. Naar het event toe, konden we rekenen op een solide ondersteuning en tijdens het event liep ALLES van een leien dakje inclusief timing ;-).
Sylvester Productions zorgde voor de regie en podiumtechnieken. Een waardevolle samenwerking!

Ring Day - Antwerp, September 2017

We worked with Sylvester on the 'Ring Days' assignment: six days on which the design teams for the roof of the Antwerp ring road entered into a dialogue with schools, residents, neighborhood organizations and citizen movements. This assignment was carried out under a framework contract from the Flemish government for the organization of events.



Sylvester nevertheless established a flawless organization within a very tight deadline. During the holiday season, the entire team responded very flexibly to the expectations and wishes of the extensive project team. Partly thanks to their efforts, the Ring Days were conducted professionally. The project team was able to put all concerns about logistics and practical organization aside and focus on its core business: the dialogue with residents of Antwerp and Zwijndrecht. Thanks for the great cooperation.

Wij hebben met Sylvester samengewerkt aan de opdracht 'Ringdagen': zes dagen waarop de ontwerpteams voor de overkapping van de Antwerpse ring in dialoog zijn gegaan met scholen, buurtbewoners, wijkorganisaties en burgerbewegingen. Die opdracht liep in het kader van een raamcontract van de Vlaamse overheid voor de organisatie van evenementen.



Sylvester heeft binnen een erg krappe deadline toch een vlekkeloze organisatie neergezet. Het hele team heeft in volle vakantieperiode bijzonder flexibel gereageerd op de verwachtingen en wensen van het uitgebreide projectteam. De Ringdagen zijn mede dankzij hun inzet professioneel verlopen. Het projectteam kon alle zorgen over de logistiek en de praktische organisatie aan de kant zetten en zich focussen op zijn core-business: de dialoog met inwoners van Antwerpen en Zwijndrecht. Dank voor de fijne samenwerking.

Samenwerking ikv The Tall Ships Races 2016

Following a public tender by the city of Antwerp and the Antwerp Port Authority, the organization of The Tall Ships Races (7-10 July 2016) was assigned to Sylvester Productions and PushToTalk for the search for sponsors and hospitality partners on the one hand, and the complete logistics organization of this large-scale event.

The collaboration with Sylvester Productions was very professional. Meetings took place on a regular basis with various parties (city, port, nautical working group,…) and Sylvester's team. During these meetings, pain points were tackled and opportunities were created.

During the four-day event, everything went smoothly. The implementing partners scored very well in various areas:
- City and port always had a point of contact. The project manager also had a complete overview of the entire event, which meant that last minute issues were tackled very quickly. Moreover, the input of various parties (both national and international) had to be taken into account, but that also went smoothly. These different partners spoke only full of praise for the organization after the event.
- In terms of logistics, Sylvester Productions was a very strong and reliable partner. Several aspects were taken into account with attention to the needs of all partners involved.
- Budget management was transparent. The clients always had an overview of the resources.
- Also elements that were not originally part of the public tender were smoothly executed by Sylvester Productions. For example, they fully supported the recruitment of trainees and made extra efforts for partnerships with pleasure boat companies.

The visitor satisfaction survey showed that 74.3% had a very positive impression of this event. The city can only join that.

Na een openbare aanbesteding door de stad Antwerpen en het Havenbedrijf Antwerpen werd de organisatie van The Tall Ships Races (7-10 juli 2016) toegewezen aan Sylvester Productions en PushToTalk voor enerzijds de zoektocht naar sponsors en hospitality-partners en anderzijds de volledige logistieke organisatie van dit grootschalig evenement.

De samenwerking met Sylvester Productions verliep zeer professioneel. Op regelmatige basis vonden vergaderingen plaats met verschillende partijen (stad, haven, nautische werkgroep, …) en het team van Sylvester. Tijdens deze meetings werden pijnpunten aangepakt en opportuniteiten gecreëerd.

Tijdens het vierdaags evenement liep alles op wieltjes. De uitvoerende partners scoorden op verschillende vlakken zeer goed:
- Stad en haven hadden steeds een aanspreekpunt. De projectleider had bovendien een volledig overzicht over het ganse event waardoor last minute issues zeer snel werden getackeld. Bovendien moest hier steeds rekening gehouden worden met de input van verschillende partijen (zowel nationaal als internationaal), maar ook dat verliep vlekkeloos. Deze verschillende partners spraken na het event enkel vol lof over de organisatie.
- Op logistiek vlak was Sylvester Productions een zeer sterke en betrouwbare partner. Verschillende aspecten werden in acht genomen met aandacht voor de noden van alle betrokken partners.
- Het budgetbeheer verliep op transparante wijze. De opdrachtgevers hadden steeds een inkijk op de middelen.
- Ook elementen die oorspronkelijk geen deel uitmaakten van de openbare aanbesteding, werden vlot uitgevoerd door Sylvester Productions. Zo schaarden zij zich volledig achter de werving van trainees en leverden ze extra inspanningen voor de samenwerkingen met de pleziervaartrederijen.

Uit de tevredenheidsenquête bij de bezoekers bleek overigens dat 74,3% een zeer positieve indruk overhoudt aan dit event. Daar kan de stad zich enkel bij aansluiten.

Every year the Saint sets foot in Antwerp. This is realized through a collaboration between the city of Antwerp and Sylvester. Although this is an annual project, there is always something that needs to be changed every year. Due to the flexibility and professionalism we always get out. Consultation and mutual respect contribute to a successful event. Since different parties are involved (production, actors, participating groups, security personnel, logistics personnel, ...) it is not always easy to get all this done at the same time. The timing is sometimes a bit tight, but that makes the challenge even greater!

Hoewel dit een jaarlijks project is, is er ook jaarlijks altijd wel iets dat moet gewijzigd worden. Door de flexibiliteit en het professionalisme geraken we er steeds uit. Overleg en wederzijds respect dragen bij tot een geslaagd evenement. Aangezien er verschillende partijen betrokken zijn (productie, acteurs, deelnemende groepen, veiligheidspersoneel, logistiek personeel, ...) is het niet altijd evident om dit alles op eenzelfde tijdstip rond te krijgen. De timing is soms een beetje nipt, maar dat maakt de uitdaging eens zo groot!

An event that is etched in our collective CM memory

Sylvester organized an unforgettable CM conference in 'the Square' in 2015, which was all about our CM chair change. Sylvester not only devised an appropriate concept, but also took care of the full implementation and supervision of this conference in the two national languages. In addition to the conference itself, Sylvester also provided catchy support videos, live recording and the construction of the associated fair in the adjacent rooms. Sylvester also provided wonderful guidance and support for the workshops.
In short, a CM event that has been engraved in the collective CM memory to this day.

Sylvester zorgde in 2015 voor een onvergetelijk CM-congres in 'the Square' dat in het teken stond van onze CM-voorzitterswissel. Naast het congres op zich zorgde Sylvester ook voor pakkende ondersteuningsfilmpjes, live-captatie en de opbouw van de bijhorende beurs in de aanpalende ruimten. Ook een schitterende begeleiding en ondersteuning van de workshops nam Sylvester voor hun rekening.
